Introduction

TLC-Holland B.V. (“TLC Holland,” “we”) values your privacy. We only process data necessary for our services, improving the customer experience and meeting service needs. We handle all information we collect about you and your use of our services with care and store it in accordance with applicable laws and regulations (including the GDPR).

Scope

This privacy policy applies to the use of our website(s), webshop, and the services made available through them. Upon publication of a new version, previous versions lapse. What data we process and why

We process personal data only for predetermined, explicitly described, and legitimate purposes, and on the basis of a legal ground (such as performance of a contract, legal obligation, legitimate interest, or your consent).

Web forms

Our website/webshop contains web forms in which we may ask for your (company) name, address details, email address, website address, and (mobile) phone number. We use this data solely for the purpose for which you provided it (e.g., contact request, quotation, support).

Orders and transactional emails

When you place an order, we send transactional messages about your order status (e.g., order confirmation, shipping information, invoice). For this, we process your contact and order details.

Client management and invoicing

Customer and order data are stored in the CRM/administration system and in our accounting. We do this solely for (pre-)contractual and administrative purposes.

Email

We use our own email facilities (or processors appointed by us) for customer communication. We treat all email traffic confidentially.

Web hosting and database

Our website and webshop run on our own webshop platform and the associated hosting and database technology. Data you provide to us via our website/webshop are securely stored with service providers selected by us (mostly located in the EU). We have data processing agreements in place with these processors that ensure appropriate technical and organizational measures (including encryption, access control, and backups). Processors and their personnel are prohibited from accessing data or disclosing it to third parties unless required to do so by law.

Analytics and cookies

We measure the use of our website/webshop to improve performance and user-friendliness. Where possible, we use privacy-friendly settings and limit data to aggregated or anonymized information. If analytics/marketing cookies are not strictly necessary, we will request your consent in advance via our cookie banner. You can change your preferences at any time.

Sharing of data

We only share your data when necessary for our services, to comply with the law, or when you have given your explicit consent.

Webshop platform (Medusa) and related services

For processing orders, customer management, payments, and technical maintenance.

Parcel services and logistics (e.g., MyParcel / PostNL)

For delivery, we share name and address details that are strictly necessary for shipment.

Invoicing and accounting (e.g., Exact Online)

For preparing and retaining invoices and fulfilling administrative obligations.

Exchange with our community platforms

To improve the customer experience and our services, we may exchange data within TLC Holland between our own community platforms and systems (so-called first-party data). This takes place on the basis of an appropriate legal ground (often performance of a contract or legitimate interest) and with due regard for data minimization and access restrictions.

Commercial re-use or sale of data

We may re-use data or share it (in anonymized/pseudonymized form) where this demonstrably adds value for TLC and its customers.
Personal data for commercial purposes are shared or sold to third parties only with your explicit, prior consent, which you may withdraw at any time.
Where possible, we share data in anonymized form that cannot be traced back to you.
For any such use we ensure transparency, purpose limitation, and security, and we conduct a DPIA (data protection impact assessment) where required.

Automatically collected data

Technical data such as IP address, browser type, and operating system may be collected automatically for security, debugging, and performance improvement. Where possible, we anonymize or aggregate this data.

Cooperation with tax and criminal investigations

TLC Holland may be legally required to share data in the context of tax or criminal investigations. We assess each request carefully and, within the limits of the law, oppose unjustified requests.

Security

We take appropriate technical and organizational measures to secure personal data, including encryption, access control, logging, backups, least-privilege principles, and periodic evaluations.

Retention periods

We do not retain your data longer than necessary. We retain your customer profile for as long as you have an account or as long as needed to perform our agreement and comply with legal obligations (e.g., statutory tax retention periods). Upon account cancellation or a valid erasure request, we delete or anonymize your data, except for data we are legally required to keep longer.

Your rights

Under the GDPR, you have the following rights:

• Right to rectification – have your data corrected;
• Right to restriction – request restriction of processing;
• Right to data portability – receive your data in a commonly used format;
